Service Considerations

  • Driveway Accessibility: Ensure there are no obstructions in the driveway for smooth entry and operation of our large service vehicles.
  • Tree Branch Precautions: Service vehicles are tall and may damage low-hanging tree branches. Please cut back or secure branches in the truck's path.
  • Seasonal Precautions: During winter, ensure driveways and pathways are cleared and safe for heavy machinery. Applying salt for icy conditions is recommended. Any damage caused due to obstructions not removed by the homeowner will not be the responsibility of Duct Masters Inc.

Air Duct Cleaning Service Disclaimer

At Duct Masters Inc., we are committed to providing quality air duct cleaning services. Every service case is unique, and while we strive for safe and effective services, there are considerations to keep in mind:

  • Access Limitations in Ventilation Cleaning
    To achieve the highest quality cleaning, full access to all areas of the ventilation system is ideal. However, some areas may be inaccessible due to structural constraints such as closed ceilings or blocked sections, which is a common consideration across the industry. Limited access may result in certain sections being left untouched, though the accessible portions will still receive a thorough cleaning. By scheduling our services, clients acknowledge that restricted access points may limit cleaning in specific areas, without impacting the overall cleanliness of the accessible system.
  • Limitations & Risks: Air duct cleaning has inherent limitations and potential risks. Some ducts might show persistent stains from years of neglect, residues like adhesive from wood flooring, among other contaminants. Please note that these examples are not exhaustive. There's a risk that ducts, if not properly installed or maintained, may become detached during the cleaning process. Furthermore, air dampers, if not securely locked, might close during cleaning. It's essential to be aware of these potential issues when opting for our services.
  • Warranties & Guarantees: If your air ducts or HVAC units are under warranty, review your contract. Some may have clauses about third-party services. Ensure our services align with existing warranties.

By employing our services, you recognize these potential limitations and accept the associated risks.

Charges

All prices mentioned below are exclusive of applicable taxes and are quoted in CAD. Should there be any additional charges based on the condition or requirements of the job, our technicians will notify you upon arrival before commencing any work. Your consent will be sought for any additional costs.

  • Attic or Crawlspace Ductwork: Surcharge of $150 for ductwork or units in an attic or crawlspace.
  • Post-Renovation Cleanup: Charges from $25 to $150 if air ducts have been used for debris disposal during renovation or lack of proper protection during renovations.
  • Dryer Duct Obstructions: Fees from $50 to $200 for obstructions like bird nests or insulation.
  • Cancellation Fees: Please look below at our Cancellation Policy.
  • Concurrent Services: A $150 fee for not notifying our office 24 hours in advance about other services during our cleaning.
  • Outside Standard Radius: An additional $5 per KM (one way) for residences over 30 KM from Baie-D'Urfe H9X 3R1.

Service Protocols

  • Compliance: Our ASCS + CADCT Certified Owner-Trained Staff use equipment and cleaning agents that adhere to NADCA standards.
  • Access Requirements: We may need to cut into the main ducts or plenums for cleaning, later sealing these access points securely.
  • Insulation Access: Ducts with outer insulated wraps might be temporarily peeled back for thorough cleaning. They are later sealed with fresh aluminum tape for integrity.
  • Cleaning Limitations: Some ducts might not be restored to a pristine state due to extreme staining or dirt accumulation.
  • Special Cases: Specific ducts, like bathroom fans, have unique cleaning requirements. We use appropriate methods to maintain their structure and functionality.
    • Stage 1 Cleaning: This option provides a light cleaning for systems with minimal dust buildup, suitable for newer or regularly maintained units. Using air pressure, we will clear surface dust without disassembling components.
    • Stage 2 Cleaning: This is a more thorough cleaning, using both air pressure and brush techniques to reach deeper dust levels. If required and accessible, the blower may be removed to ensure complete cleaning.

Please Note: For units located in attics and crawlspaces, only Stage 1 cleaning is available. This ensures we adapt our services to the specific constraints of these locations.

Cancellation Policy

We understand that plans change, but due to our limited availability and high demand, cancellations can affect our ability to serve others and lead to lost revenue. When an appointment is reserved, other clients may miss out on an earlier spot and seek services elsewhere. For this reason, we apply the following cancellation fees:

  • More than 72 Hours Notice: You may reschedule or cancel at no charge.
  • Between 24 and 72 Hours: A $25 fee applies to reschedule, or a $50 fee to cancel.
  • Less than 24 Hours (or No-Shows): A $75 fee applies to reschedule. A $150 fee applies to cancel or if our team arrives and is unable to perform the service (e.g., no one is home or service is declined on-site).

Rebooking Policy: You may reschedule your appointment up to 3 times with no cancellation or rebooking fees, giving you flexibility when needed. However limited to 3 rebooking's, after the third it will be considered a cancellation and a cancel fee of $150 will be applied.

24-Hour Grace Period: Cancel within 24 hours of booking, and the fee will be waived.

We implement this policy because each appointment is reserved specifically for you, and changes or cancellations affect our ability to serve other clients.

Limitations of Liability

  • Cables or Objects: Items installed or passing through the ventilation system's ducts can pose challenges. There's a risk that these could get damaged or our equipment might become entangled. Foreknowledge of such issues can help us tailor our approach to minimize risks.
  • Pre-existing Debris: Objects in air ducts that could damage them during cleaning.
  • Material Integrity & Duct Damage: Potential issues include:
    • Damage or disconnection to plastic or aluminum flexible duct during cleaning.
    • Damage due to poor installation or inappropriate materials.
    • Dampers closing during cleaning, usually from not being locked properly.
  • Detached Access Panels or Entry Points: Should any access panels or entry points installed by our team become detached, please do not attempt to fix them yourself. These components often have sharp metal edges, which can pose a risk of injury. Contact us immediately, and we will send a technician at no additional charge to repair the issue. Your safety is our priority, and we will ensure the repair is handled safely and correctly.
  • Safety Risks: Open ducts during cleaning may pose risks. Ensure children, pets, and others are aware and cautious.
  • Homeowner Responsibility: Assist in locating all ducts prior to cleaning. Duct Masters Inc. is not responsible for missed vents if not located. We urge homeowners to notify us of any known issues within the duct system.
  • Blower Motor Limitations: Some blower motors might not be feasible for stage 2 cleaning due to various factors, resulting in stage 1 cleaning only. Duct Masters Inc. isn't liable for diminished cleaning results due to these constraints.
  • Age, Wear & Component Function: Mechanical components within your ventilation system that we clean—including but not limited to bathroom and kitchen exhaust fans, furnace blower wheels and motors, and air exchanger (HRV/ERV) blower assemblies—may be old, worn, brittle, or already in poor working order before service. Removing years of dust and debris can expose or aggravate weaknesses that were already present. For example, an exhaust fan or blower that was noisy, slow, or intermittent before cleaning may stop working entirely afterward; this often reflects age or pre-existing wear, not inappropriate cleaning. Duct Masters Inc. is not responsible for the repair, replacement, or loss of function of any such component when failure is due to the unit's age, wear, lack of maintenance, corrosion, prior damage, or other pre-existing condition. We do not warrant that every cleaned component will operate after service. Please tell us about any known fan, motor, or blower concerns before your appointment.
  • Aftermarket Add-Ons and Modifications: Installed aftermarket add-ons or modifications could affect our cleaning process or results, such as UV lights, booster fans, extra heaters, electronic dampers, and more. It's vital to inform us of any such additions beforehand. Failure to disclose these add-ons may result in complications during cleaning. Duct Masters Inc. cannot be held responsible for any resulting damage or limitations in service. Clients are responsible for disclosing all relevant information about their system before the cleaning service.
  • AC Coil Cleaning: Our Indoor Unit Coil Cleaning focuses on the coil located inside your furnace area. We do not service the exterior heat pump unit.

Wall Mount Units Disclaimer

  1. Water Marks on Walls: Duct Masters is not responsible for any water marks on walls resulting from the cleaning process. The unit should be watertight; any cracks in the body are an installation issue through which water might escape, and we are not responsible for such occurrences.
  2. Cover Removal: If the cover is old, brittle, or heavily caked with dirt, the client must provide explicit permission for its removal, understanding that cracking or damage to the body is possible. If permission is not granted, we reserve the right to decline the cleaning service.
  3. Preparation: The client must shut off the unit several hours before our arrival. Additionally, clear space around the exterior unit (front and sides) and around the interior unit (walls and floor) is required prior to our arrival.
  4. Maintenance and Service: Any maintenance or service needs identified during the cleaning process will be noted and explained to the client but will not be repaired by Duct Masters.
  5. Exterior Cleaning: We will clean the exterior unit body and coils; however, motor servicing is not included and should be handled by a service company.
  6. Filter and Body Cleaning: The filter and body will be cleaned outside. If this is not feasible, we will require permission to use a bathtub for cleaning.
  7. Equipment Damage: Duct Masters is not liable for any pre-existing damage to the unit or its components that may become apparent during or after the cleaning process.
  8. Limited Warranty: Our cleaning service does not include a warranty for the unit's performance post-cleaning. Any issues related to the unit's functionality should be addressed by a qualified service technician.
  9. Inspection Prior to Cleaning: We recommend a thorough inspection of the unit by the client or a qualified technician prior to our cleaning service to identify any existing issues that might be aggravated by the cleaning process.
  10. Client Presence: It is recommended that the client or a representative be present during the cleaning process to address any immediate concerns or decisions that may arise.
  11. Service Limitations: Our cleaning service is strictly limited to the specified components and does not include repair, maintenance, or replacement of parts. We do not open concealed areas or perform plumbing repairs.
  12. Accessibility Restrictions: Wall unit service is limited to accessible indoor components and, when easily reachable on site without special access, the outdoor condenser. Condensers on roofs, high walls, or locations requiring ladder work beyond standard safe reach are excluded unless separately quoted.
  13. Unit Age and Pre-Existing Conditions: Older or poorly maintained units may have brittle parts, corrosion, or prior damage; cleaning can reveal or worsen existing conditions—we are not responsible for failures caused by the unit's age or pre-existing condition.
  14. Condensate Drain Limitations: Condensate drain service is limited to visible, accessible portions of the line; sections concealed in walls or beyond our access cannot be inspected, cleared, or guaranteed. Blockages that cannot be verified or cleared from accessible points may require a licensed plumber.
  15. Consent and Acknowledgment: By scheduling and receiving our cleaning service, the client acknowledges and consents to the terms outlined in this disclaimer.

Additional Terms & Conditions

  • Indemnification: The client agrees to indemnify, defend, and hold harmless Duct Masters Inc., its officers, directors, employees, agents, licensors, suppliers, and any third-party information providers from and against all losses, expenses, damages, and costs, including reasonable attorneys' fees, resulting from any violation of this agreement (including negligent or wrongful conduct) by the client or any other person accessing the service.
  • Limitation on Time to File Claims: Any claim or cause of action arising out of or related to use of our services must be filed within thirty (30) days after such claim or cause of action arose, regardless of any statutes or law to the contrary.
  • Payment Discrepancies: Any discrepancies in billing must be brought to the attention of Duct Masters Inc. within seven (7) days of the invoice date. Failure to do so within the stipulated time frame will be deemed as acceptance of the invoice amount.
  • Safety Compliance: The client is responsible for ensuring a safe environment for our technicians to operate. Any aggressive or violent behavior, either from individuals or pets, should be curtailed during our service time. Any unsafe practices or environments that are not rectified could lead to an immediate cessation of our services without a refund.
  • Use of Photographs or Video: Duct Masters Inc. reserves the right to take photographs or videos before, during, and after the provision of our services. These may be used for documentation, quality assurance, or promotional purposes. If used for promotional purposes, any identifying details will be removed to ensure full discretion, unless explicit permission is provided by the client. Picture will remain in our system for the length of our business operation. Most images are deleted immediately but those used for marketing would be retained for a longer period of time.
